Last updated: 6 April 2026

This Privacy Policy describes how Fluentive ("we", "us", or "our") collects, uses, and protects your personal information when you use the Fluentive platform at fluentive.app and the Fluentive app at app.fluentive.app.

We are committed to protecting your privacy and processing your data in accordance with the EU General Data Protection Regulation (GDPR) and applicable data protection laws.

1. Who We Are (Data Controller)

Fluentive is the data controller for personal data collected through our platform. For any privacy-related questions, please contact us at info@fluentive.app.

2. What Data We Collect

Account Data

When you create an account, we collect your name, email address, and a hashed password. If you subscribe to a paid plan, billing information is handled entirely by Stripe — we never store your card details.

Usage Data

We collect data about how you use the platform, including the pages you visit, features you use, and actions you take. This helps us improve the product.

Client Data You Enter

When you add contacts, appointments, or notes to Fluentive, that information is stored securely on our servers. You are the data controller for this information, and we process it only on your behalf.

Cookies and Tracking

We use essential cookies for authentication and session management. We use analytics cookies (Google Analytics) to understand how the site is used. See our Cookie Policy for details.

3. Legal Basis for Processing

  • Contract performance: Processing necessary to provide the Fluentive service under our Terms of Service.
  • Legitimate interests: Product analytics, security monitoring, and fraud prevention.
  • Consent: Analytics cookies and marketing communications (where you have opted in).
  • Legal obligation: Compliance with applicable laws and regulations.

4. How We Use Your Data

  • To provide, operate, and improve the Fluentive platform
  • To send transactional emails (account confirmations, invoices)
  • To respond to support requests
  • To detect and prevent security threats or abuse
  • To comply with legal obligations

5. Data Sharing

We do not sell your personal data. We share data only with trusted service providers who process it on our behalf under strict data processing agreements:

  • Microsoft Azure — cloud infrastructure and data hosting (EU data centres)
  • Stripe — payment processing (PCI DSS compliant)
  • Google Analytics — website usage analytics (anonymised)

6. Data Retention

We retain your account data for as long as your account is active. If you delete your account, we will delete or anonymise your personal data within 30 days, unless we are required to retain it by law.

7. Your Rights Under GDPR

As a data subject under GDPR, you have the following rights:

  • Right of access: Request a copy of your personal data
  • Right to rectification: Correct inaccurate or incomplete data
  • Right to erasure: Request deletion of your personal data
  • Right to portability: Receive your data in a portable format
  • Right to restrict processing: Limit how we use your data
  • Right to object: Object to processing based on legitimate interests
  • Right to withdraw consent: Where processing is based on consent

To exercise any of these rights, email us at info@fluentive.app. We will respond within 30 days. See our GDPR Rights page for detailed instructions.

8. Data Security

We implement industry-standard security measures including TLS 1.3 encryption for data in transit, AES-256 encryption for data at rest, and regular security reviews. For full details, see our Security page.

9. International Transfers

All data is stored and processed within the European Union on Microsoft Azure infrastructure. We do not transfer your personal data outside the EU.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through the app before the change takes effect. Continued use of Fluentive after changes constitutes acceptance of the updated policy.

11. Contact Us

For privacy questions, requests, or complaints, contact us at: info@fluentive.app

You also have the right to lodge a complaint with your national data protection supervisory authority.
